Setting Goals, Making a Plan and Creating Systems are the key to success
We all only have 24hrs in a day and want to accomplish more than is actually possible. This is why writing down your goals and putting in place a plan to achieve them is so important. With a written plan you have a significantly higher chance of achieving what is most important.
Within every great plan there are generally tasks that are repeated over and over again. Creating systems that can be easily followed and repeated consistently are what will help you stay organized, save time and delegate easily to others.
Why systems work:
Systems reduce the number of decisions you make every day. They get you to take action without wasting time. A good and reliable system will make your life easier and make you more efficient and effective at what you do. It's the best way to use brainpower at the right time and for the right tasks. It also helps you avoid decision fatigue.
What Is Decision Fatigue? It is βthe idea that after making many decisions, your ability to make more and more decisions over the course of a day becomes worse,β said Dr. MacLean, a psychiatrist. βThe more decisions you have to make, the more fatigue you develop and the more difficult it can become.β
This is why taking steps such as creating a weekly pre-plan, breaking goals into actionable steps, scheduling these steps into your calendar and creating repeatable systems can help you avoid "Decision Fatigue".
CREATING SYSTEMS
Systems work for any task that you need to repeat on a consistent basis.
For example: expenses, reporting, account visits, staff trainings, tasting, booking bartenders etc...
The initial process of creating the system takes time but once put in place you are going to be amazed on the amount of time it will save you.
Step one: Choose the task i.e. Expenses
Step two: As you are completing write down each step you take
Step three: Review each step to see where you can streamline the process
Step Four: Write down the system, put somewhere you can see easily on your phone i.e. Notes or use the Trello app etc.
Step Five: Schedule any task that you will repeat every week or month i.e. I will download my credit card statement on the 25th of every month.
Step Six: Execute the system and make updates as needed.
Example of a System
i.e.- Goal: to submit my expenses on-time each month
Example System:
1) Take a picture of every receipt as soon as it is received.
2) upload receipt and Input expense, reason, and people I was with into expensify as soon as my transaction is complete.
3) Download cc statement on the day it arrives
4) Within two days review statement and compare it to expensify
5) Fill in any missing information on my report
6) Review report and submit
7) Enter money spent into my budget tracker.
